Who we share it with
We share personal information only with service providers who help us run the business, and only as much as they need. Each is bound by contract to protect it and to use it solely on our instructions. The categories are:
- Website hosting and domain services
- Payment processing
- Email, calendar and file storage
- Email marketing, scheduling and calendar booking tools
- AI tools used to assist with research and drafting, configured not to train on submitted data where the provider offers that option
- Analytics
- Accounting and bookkeeping
- Professional advisers, where we need advice on a matter that involves your information
We may also disclose information where the law requires it, or to establish or defend a legal claim. If our business is sold or reorganised, information may transfer to the acquirer, and we will tell you if that happens.
We do not put client confidential material into third-party AI tools that train on submitted data. Where an AI tool is used in delivering your engagement, we agree that with you as part of the scope of work.
International transfers
We operate from the United States and Nigeria, and our service providers are located in several countries including the United States. If you are in the United Kingdom or the European Economic Area, this means your information may be transferred outside your country. Where that happens we rely on appropriate safeguards — standard contractual clauses, the UK addendum, or an adequacy decision, as applicable. You can ask us for details of the safeguard used for a particular transfer.
How long we keep it
- Enquiries that do not become clients: up to 24 months from last contact.
- Client records and correspondence: for the engagement and 6 years afterwards, to cover contractual and tax record-keeping.
- Invoices and accounting records: 7 years, as required for tax purposes.
- Marketing list: until you unsubscribe, plus a suppression record so we do not email you again by mistake.
- Website analytics: up to 26 months.
Cookies
The site uses cookies that are necessary for it to function, and analytics cookies that help us understand how it is used. Necessary cookies are set automatically. Analytics cookies are set only where you have consented, if a consent banner is shown to you. You can clear or block cookies in your browser settings, though blocking necessary cookies may stop parts of the site working.
Your rights
Depending on where you live, you have some or all of the following rights over your personal information:
- Access — a copy of the information we hold about you.
- Correction — to have inaccurate information fixed.
- Deletion — to have information erased, where we have no overriding reason to keep it.
- Restriction and objection — to limit or object to how we use it, including objecting to processing based on legitimate interests.
- Portability — to receive information you gave us in a machine-readable format.
- Withdraw consent — at any time, without affecting anything done before you withdrew it.
- Unsubscribe — every marketing email has an unsubscribe link, which works immediately.
- Non-discrimination — we will not treat you differently for exercising any of these rights.
To exercise any of these, email hello@danaios.com. We respond within 30 days and we do not charge for it. We may need to verify your identity first.
If you are in the UK you may complain to the Information Commissioner's Office (ico.org.uk). If you are in the EEA you may complain to your national data protection authority. We would ask you to raise it with us first so we have the chance to put it right.
How we protect it
We use encrypted connections, access controls, multi-factor authentication on business accounts, and limit access to information to those who need it. No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your personal information and poses a risk to you, we will notify you and the relevant regulator as the law requires.
Links to other sites
Our site links to third-party sites and tools. We are not responsible for their privacy practices, and we suggest you read their policies before giving them your information.
Changes to this policy
We may update this policy. The "last updated" date above shows when. If a change materially affects how we use your information, we will tell you directly where we can.
